Toothbar
Privacy Policy
Last updated: September 28, 2026
This policy explains how Toothbar handles information about people who visit this website and people who contact the practice through it. How we protect your health information as a patient is described in our HIPAA Notice of Privacy Practices.
1. Who we are
This website is operated by Toothbar of Austin PLLC (“Toothbar,” “we,” “us”), a general dental practice at 211 Walter Seaholm Dr, LR 160, Austin, TX 78701. You can reach us at (512) 949-8202 or info@toothbar.com.
2. What this website collects
- Nothing is required to browse. The site has no accounts, logins or patient portal.
- Contact form. If you send us a message, we receive your name, phone number, email address, whether you’re already a patient and what you write, and use them to reply and schedule your visit. If you agree to texts, we send scheduling messages and occasional offers; reply STOP at any time to opt out.
- No tracking. We don’t use our own cookies, analytics tools (such as Google Analytics), advertising pixels or session recording on this site.
- Server logs. Like any website, our hosting provider (Vercel Inc.) automatically records technical details of each visit, such as IP address, date and time, browser and the page requested. These logs keep the site running and secure.
- Map. The contact section shows an embedded Google Map. When it loads, Google may collect browsing data and use cookies under the Google Privacy Policy.
- Video. The film at the top of the home page plays through Vimeo’s player in “do not track” mode, which stops the player from tracking session data, including Vimeo’s own cookies. It starts only after the page has loaded, and never when your device asks for reduced motion or data saving. Vimeo’s network may still set a short-lived security cookie that filters automated traffic, and Vimeo receives the technical details needed to stream the video, such as your IP address, under the Vimeo Privacy Policy.
- Fonts and images are served from this site, without calls to outside services.
3. Booking online and contacting us
Online booking is handled by our scheduling provider on its own page. The information you enter there, such as your name, phone number, email and insurance details, is used to schedule and confirm your visit, and it is protected as health information under HIPAA.
When you call or email us, we receive the information you choose to share and use it to answer you, schedule appointments and provide care. Anything about your dental health becomes part of your patient record and is handled as described in our HIPAA Notice of Privacy Practices.
4. How we share information
We don’t sell or rent personal information, and we don’t share it for targeted advertising. We share it only when needed:
- with service providers that help us run the practice, such as website hosting, scheduling, communications and practice management, under confidentiality agreements;
- with dental laboratories, specialists and insurers involved in your care or payment, as allowed by law;
- with authorities when the law requires it.
5. How long we keep it
- Messages and contact details: as long as needed to answer you and maintain our relationship with you.
- Patient records: for the periods required by Texas and federal law.
- Server logs: as long as needed for security and to meet legal obligations.
6. Security
We use technical and administrative safeguards to protect information from unauthorized access, loss or misuse. This site is served over an encrypted connection (HTTPS). No website or email is completely secure, so please don’t send sensitive health details by regular email; call us instead.
7. Children
This website isn’t directed to children under 13, and we don’t knowingly collect their information online. A parent or guardian provides and manages the information of minor patients.
8. Your choices
You can ask us what information we hold about you, ask us to correct it, or ask us to delete information we aren’t required to keep. As a patient, you also have the rights described in our HIPAA Notice of Privacy Practices, including the right to a copy of your records. To make a request, call or email us; we’ll respond within the time the law allows.
9. Changes to this policy
We may update this policy as the website, the practice or the law changes. The date at the top shows the latest version.
